ICE Exchange Cancellation Questions
What will happen with my ICE Exchange registration?
For those that have already registered for the ICE Exchange, ICE will automatically transfer your registration to the virtual experience. ICE will automatically process a refund for the cost difference between the in-person Exchange and the virtual experience.
If you are no longer able to attend or wish to cancel, please review and follow the directions in ICE’s registration refund policy.
How do I cancel my hotel reservation and flight?
The Fontainebleau Miami Beach Hotel will cancel all hotel reservations made through the official ICE Exchange room block. The credit cards on file for these reservations have not been charged. If you have sent in a check deposit, the Fontainebleau Miami Beach Hotel will send you a refund in the next 7-14 business days. If you booked a room outside the ICE Exchange room block or you do not receive a cancellation notice by September 11 please contact the hotel to cancel your room reservations.
We encourage anyone who has booked flight reservations for the Annual Conference to contact the airline immediately to inform them of your changed travel plans. Many airlines are offering credits that extend up to one year.
Will future ICE conferences be virtual?
We cannot predict how COVID-19 will impact 2021 in-person events. We are hopeful that we can host the 2021 ICE Exchange in Nashville, TN Monday, November 15- Thursday, November 18, 2021. If we find elements of our 2020 virtual experience are popular and aid in the advancement of credentialing best practices, this could be an option we explore for future conferences.
Why did ICE decide to cancel the 2020 ICE Exchange and host a completely virtual experience?
ICE has been paying close attention to news about novel coronavirus (COVID-19), and we place the highest priority on the health and safety of our members and our colleagues. Based on current information from the Centers for Disease Control and Prevention (CDC) and World Health Organization (WHO), and after closely monitoring the continued impact of COVID-19 and the impact to Florida communities, the ICE Board of Directors has made the decision to cancel the in-person 2020 ICE Exchange, taking place November 8 – 11 in Miami Beach, Florida
While we will regret having to cancel the in-person 2020 ICE Exchange, we are confident this is the responsible path forward to maintain safe conditions for our attendees, presenters, and exhibitors.
Virtual Experience Questions
When will information be available about the virtual experience?
ICE is in the process of planning a virtual experience. We will post more information as soon as possible.
When will the virtual experience be held?
ICE is planning to host the virtual experience Monday, November 9 – Wednesday, November 11. Primary programming hours are 12:00 pm ET – 6:00 pm ET, but timing is subject to change.
What will the virtual platform look like?
ICE has selected an easy-to-use, interactive platform where you will be able to use a chat box during each session to connect with attendees, visit the virtual Connection Center to trade information with exhibitors, schedule one-on-one meetings with your peers, and more. Plus, you can customize your profile by uploading a photo of yourself, and adding contact information such as company and location, and other details to help you connect with fellow peers.
ICE will provide resources on how to use the platform and get the most out of your virtual experience in late October. You will also receive access to the platform prior to the start of the meeting to have time to build your profile, plan your schedule, and get acquainted with the site. You can also access recordings of the educational sessions after the live event.
What will the virtual schedule look like?
Schedule details will be announced in late September. ICE will host six blocks of one-hour sessions, two blocks of Connection Zone activities, a general session kicking off each day of learning, and an hour each day reserved for you to connect with valuable industry partners.
We will provide thorough, advance training opportunities on how to chat during sessions and scheduling private meetings to create the engagement we typically see in-person. Breaks will be integrated throughout the program to allow for more networking opportunities as well. We will also provide recordings of the educational sessions for you to refresh your learning and access sessions you could not attend live.
As we continue to plan the program, we ask for your patience and understanding in the details we can share at this point.
When will ICE share registration details?
ICE will open registration with a schedule in mid to late September. When we open registration, an early bird discount will be available.
How much will the virtual conference cost?
The virtual experience registration rates are provided below.

Will the preconference workshops be available virtually?
Yes! ICE is planning on hosting the preconference workshops. They will be scheduled separately from the conference as live, virtual workshops. We will post information on how to register online as soon as information is available.
