COVID-19 and the ICE Exchange

ICE has been paying close attention to news about novel coronavirus (COVID-19), and we place the highest priority on the health and safety of our members and our colleagues.
 
Based on current information from the Centers for Disease Control and Prevention (CDC) and World Health Organization (WHO), and after closely monitoring the continued impact of COVID-19 and the impact to Florida communities, the ICE Board of Directors has made the decision to cancel the in-person 2020 ICE Exchange, taking place November 8 – 11 in Miami Beach, Florida. While we regret having to cancel the in-person 2020 ICE Exchange, we are confident this is the responsible path forward to maintain safe conditions for our attendees, presenters, and exhibitors.
 
The ICE Exchange provides invaluable education and networking opportunities, and we are hosting a virtual learning and networking experience November 9 – 11, 2020.  
  
We would like to recognize the efforts of our ICE Exchange Program Committee members who have worked hard to create an in-person event for 2020, and who will continue to support our efforts to host a virtual experience.
 
ICE represents a strong community which values collaborative exchange of information and networking. Though we will be physically apart from each other, we are excited to create an opportunity for us all to connect. We will share schedule and registration details about the virtual experience in the upcoming weeks.

 

In-Person ICE Exchange Cancellation Questions

What will happen with my in-person ICE Exchange registration?

For those that have already registered for the ICE Exchange, ICE will automatically transfer your registration to the virtual experience. ICE will automatically process a refund for the cost difference between the in-person Exchange and the virtual experience.

In-Person ICE Exchange Cancellation Policy

ICE must receive all cancellations in writing by Friday, October 16, 2020. Please email cancellation requests to registration@credentialingexcellence.org. All refunds will be processed after the meeting and will be assessed a $100 administrative fee. Substitutions are accepted, but can only be credited toward the 2020 ICE Exchange. All sales are final after Friday, October 16, 2020.

COVID-19 Cancellations

If for any reason beyond ICE's control the 2020 ICE Exchange must be rescheduled to a later date, cancelled, or fundamentally altered, registrant(s) understand that they may reallocate any monies paid for registration to the 2021 ICE Exchange, or elect to cancel their participation in the 2020 ICE Exchange.

If a registrant elects to cancel their participation in the 2020 ICE Exchange due to the impacts of COVID-19, the individual may request a refund with no penalty as long as the email request is accompanied with a stated reason for the cancellation by Friday, October 16, 2020. Emails can be sent to Lauren Stevens at registration@credentialingexcellence.org.

How do I cancel my hotel reservation and flight?

The Fontainebleau Miami Beach Hotel will cancel all hotel reservations made through the official ICE Exchange room block. The credit cards on file for these reservations have not been charged. If you have sent in a check deposit, the Fontainebleau Miami Beach Hotel will send you a refund. If you booked a room outside the ICE Exchange room block or you do not receive a cancellation notice by September 11 please contact the hotel to cancel your room reservations.

We encourage anyone who has booked flight reservations for the Annual Conference to contact the airline immediately to inform them of your changed travel plans. Many airlines are offering credits that extend up to one year.

What will happen to my ICE Exchange Sponsorship?

The ICE Sponsorship and Sales team will be reaching out to sponsors with options and offerings for the 2020 Virtual Experience

Will future ICE conferences be virtual?

We cannot predict how COVID-19 will impact 2021 in-person events. We are hopeful that we can host the 2021 ICE Exchange in Nashville, TN Monday, November 15- Thursday, November 18, 2021. If we find elements of our 2020 virtual experience are popular and aid in the advancement of credentialing best practices, this could be an option we explore for future conferences.

Virtual Experience Questions

When will information be available about the virtual experience?

Registration opened Wednesday, September 23. For more info on what to expect from this virtual experience, please visit our What to Expect page. 

When will the virtual experience be held?

ICE will host the virtual experience Monday, November 9 – Wednesday, November 11. Primary programming hours are 12:00 pm ET – 6:00 pm ET, but timing is subject to change.

What will the virtual platform look like?

ICE has selected an easy-to-use, interactive platform where you will be able to use a chat box during each session to connect with attendees, visit the virtual Connection Center to trade information with exhibitors, schedule one-on-one meetings with your peers, and more. Plus, you can customize your profile by uploading a photo of yourself, and adding contact information such as company and location, and other details to help you connect with fellow peers.

ICE will provide resources on how to use the platform and get the most out of your virtual experience in late October. You will also receive access to the platform prior to the start of the meeting to have time to build your profile, plan your schedule, and get acquainted with the site. You can also access recordings of the educational sessions after the live event.

What will the virtual schedule look like?

Schedule details will be announced in late September. ICE will host six blocks of concurrent sessions, two blocks of discussion sessions, a general session kicking off each day of learning, and an hour each day reserved for you to connect with valuable industry partners.

We will provide thorough, advance training opportunities on how to chat during sessions and scheduling private meetings to create the engagement we typically see in-person. Breaks will be integrated throughout the program to allow for more networking opportunities as well. We will also provide recordings of the educational sessions for you to refresh your learning and access sessions you could not attend live.

As we continue to plan the program, we ask for your patience and understanding in the details we can share at this point.

Can I still exhibit and/or sponsor at the virtual event?

Will the preconference workshops be available virtually?
